Office Relocation Responsibilities: Who Handles IT, Packing and Access?
Office relocation responsibilities should be written down before packing starts. When furniture movers, IT contacts, building management and staff each assume another party owns a task, the move can stall even with an accurate inventory.
Create a responsibility list organised by outcome. Give every task one accountable contact and record the people supporting it. Check that external businesses accept the work assigned to them.
Separate packing from ownership of contents
Department contacts should identify what moves, what stays and what needs another arrangement. Decide who packs each area and who supplies materials. Give the removalist a clear description of the prepared goods it is expected to collect.
Sensitive records need your business's own handling plan. Avoid putting confidential details into a general furniture inventory. The list can identify sealed boxes and their destination without exposing their contents unnecessarily.
Define the IT handover
Write down who authorises shutdown, disconnects devices, prepares equipment and reconnects it at the new office. Confirm whether transport is part of the removalist's accepted scope and which equipment requires a separate provider.
Assign someone to record device destinations and keep cables or accessories organised under the agreed method. A furniture crew should not have to infer which workstations belong together or decide whether a device is ready to disconnect.
Allocate furniture preparation explicitly
Ask which pieces need assessment and who handles any dismantling or reassembly. Keep instructions and labelled fittings available to the agreed person. Identify furniture excluded from the move so it is not confused with goods awaiting preparation.
For example, a fictional meeting table might require preparation by one business and transport by another. The schedule should show when preparation is complete and who confirms readiness, rather than placing both tasks under a vague move everything instruction.
Give building access a named owner
Assign responsibility for lift reservations, loading arrangements, security access and management communications at both premises. Record confirmed slots and outstanding requests. Share the relevant details with the moving provider.
Choose a contact who can respond if an access device fails or management changes the arrangement. The responsible person needs the authority and information to resolve the issue, not merely a place on an email list.
Plan receiving and operational checks
Identify who directs furniture placement and who checks the final inventory. Separately assign the people who confirm IT, telephones and other workplace functions. Physical delivery does not establish that those systems are operational.
If staff have been allocated handling tasks, include them in your workplace safety planning. SafeWork NSW's hazardous manual tasks information is a relevant starting point for that discussion; do not substitute an informal lifting plan for proper assessment.
Review the responsibility list against the quote
Use the office relocation checklist to check the wider sequence. Through office removalists, you can describe the transport scope for provider responses.
Compare Removalist Quotes is a comparison platform. Ask the selected business to confirm its responsibilities, retain the written agreement and keep your internal task owners informed of any change.
