Office Moves: Building a Furniture and Equipment Inventory
An office moving inventory should tell a provider what travels, where it starts and where it needs to finish. Staff numbers or floor area alone leave too much open: an office can contain similar desks but very different storage, meeting furniture and equipment.
Create the inventory before asking for final moving proposals. Give one person responsibility for maintaining it so the version sent to providers matches the work your team has approved.
Divide the workplace into collection areas
Start with areas that people can identify on moving day: reception, meeting room, workstation area, storage room and kitchen. Give each area a short code if room names are repeated across floors. Separate furniture from boxed contents and equipment.
For each item or group, record quantity, approximate dimensions where useful, destination and preparation status. Note whether it is going to the new office, remaining in place or being handled through a separate arrangement. Avoid leaving disposal items on the same list without explaining the difference.
Record handling questions before they become assumptions
Identify furniture that needs assessment, including large meeting tables, tall storage units and unusually heavy equipment. Tell providers whether furniture is expected to travel assembled and ask who would handle any required disassembly.
Do not nominate employees to carry heavy items merely to reduce the removalist inventory. For workplace safety planning, SafeWork NSW’s hazardous manual tasks guidance explains the need to identify and manage handling risks. Discuss the actual tasks with the people responsible for workplace safety and the selected providers.
Separate IT coordination from physical transport
A list of monitors, computers and printers does not establish who disconnects, packs or reconnects them. Assign each responsibility explicitly with your IT contact and removalist. Record equipment that needs specialist preparation or must remain available until a particular time.
- Who approves shutdown and disconnection?
- Who packs equipment and labels cables?
- Which items are accepted for transport?
- Who checks equipment at the destination?
- Which tasks sit outside the removalist’s quote?
Keep credentials, sensitive records and operational recovery plans within your business’s own controls. The moving inventory should describe the transport job without becoming a document containing passwords or unnecessary personal information.
Add destination labels that match a floor plan
Give furniture and boxes destination labels the crew can interpret without guessing. “Finance, desk F04” is more specific than a staff member’s first name. Check that the labels match the floor plan and that the destination areas will be accessible when delivery takes place.
For example, a fictional ten-desk office might send eight desks to one room and two to a separate meeting area. If all ten carry the same general label, the team receiving them may have to direct every placement. Clear destinations make the requested job easier to explain.
Link the inventory to building access
Send the provider floor levels, lift arrangements, proposed loading points and any confirmed moving hours for both premises. Identify the building contact and which bookings remain outstanding. An item list cannot resolve a loading bay that is unavailable at the proposed appointment time.
If the business needs phased collections, mark the phases against the inventory. Explain what must stay operational and ask the provider which sequence it can offer. Do not treat your preferred order as confirmed until the relevant parties agree.
Freeze a version and manage changes
Date the inventory and share the same version with everyone providing a quote. When the scope changes, send a clear amendment showing the added or removed items. Ask the chosen provider to confirm any effect on the quoted work and timing.
Use the office removalists page to describe the service you need. The office relocation checklist can support the wider planning beyond the inventory.
Compare proposals against the approved scope
Compare Removalist Quotes is a comparison platform connecting enquiries with relevant providers, subject to availability. Check each response against your inventory and responsibilities list. Arrange the booking directly with your selected business after confirming the work it has agreed to supply.
